Medical Assistant/Phlebotomy
As a Medical Assistant at FIH, you’ll work both front and back office, supporting physicians, advanced practice providers, and the broader clinical team in delivering coordinated, patient-centered fertility care. It’s a hands-on role at the center of daily clinic operations — part clinical support, part patient experience, and essential to keeping both running smoothly.
Responsibilities
Clinical Support
- Assist providers with appointments and in-office procedures through scribing, set-up, and EMR patient input
- Collect and label lab specimens, maintaining sterile technique throughout
- Conduct routine patient assessments (vitals, height, weight) and document findings accurately
- Perform phlebotomy blood draws following safety, identification, and lab protocols
- Teach patients how to self-administer injectable medications
- Escort patients through the clinic, providing reassurance and addressing questions within scope
Documentation & Compliance
- Ensure accurate, timely documentation in the electronic medical record (EMR)
- Maintain patient confidentiality in accordance with HIPAA and clinic privacy policies
- Follow infection control, medication storage, and equipment safety procedures
- Support billing, reimbursement, and supply cost-containment practices
Clinic Operations
- Answer multi-line phones and provide excellent customer service to patients
- Monitor supply levels and help coordinate ordering
- Keep exam rooms and clinical areas clean, safe, and well-stocked
- Help keep providers on schedule by anticipating clinic needs
- Support training of new staff and collaborate cooperatively across the team
Skills and Requirements
- Completion of formal Medical Assistant education/certification (high school diploma plus certified MA training)
- At least one year of experience as an MA, with active work as an MA within the past 6 months, preferred
- Strong phlebotomy skills a plus
- Background in women’s health, fertility, IVF, or GYN care preferred
- Strong computer skills required
- Excellent interpersonal and communication skills, sound professional judgment, and flexibility
- Attention to detail, dependability, punctuality, and a hard-working, energetic approach — required
- Second language proficiency a plus

IVF Coordinator
The IVF Coordinator serves as the primary point of contact between physicians and patients throughout the IVF treatment process, guiding patients from initial consultation through treatment completion. This role combines clinical coordination with direct patient support — managing the logistics of an IVF cycle while providing the communication, education, and reassurance patients need at every step. It’s a role built on trust, organization, and the ability to keep a fast-paced, detail-sensitive process running smoothly for the people relying on it.
Responsibilities
Patient Care & Communication
- Serve as the primary liaison between physician and patient throughout IVF treatment
- Manage patient care from initial consultation through treatment completion
- Answer patient questions about medications and treatment under the direct discretion of the physicians
- Provide emotional support and reassurance throughout the IVF process
- Maintain consistent patient communication by phone, email, and in person
Cycle Coordination & Clinical Support
- Help coordinate all aspects of an IVF cycle
- Develop and execute individualized treatment plans in coordination with physicians
- Schedule IVF patients, appointments, and referrals
- Review medical records and lab results, and communicate findings to patients
- Teach patients how to administer medications and injections
- Administer medications and injections as needed
- Assist with, and chaperone, patient examinations or procedures
- Support IVF-related procedures and recover patients after minor surgical procedures in the on-site PACU
Documentation & Clinic Standards
- Scribe during office visits and write progress notes
- Keep accurate records in both electronic and paper charts
- Handle prescriptions and related documentation
- Maintain a clean, safe environment in accordance with clinic policies and protocols
Skills and Requirements
- Bachelor’s degree or equivalent
- Fantastic interpersonal skills and a compassionate, team-oriented approach
- Exceptional attention to detail and strong critical thinking
- Excellent computer and organizational skills
- Ability to multi-task and thrive in a fast-paced setting
- Able to work independently after appropriate orientation and training
- Takes initiative and is open to learning and feedback
- Experience in an OB/GYN, infertility, or IVF office a plus, but not mandatory

Billing Specialist
The Billing Specialist keeps the financial side of patient care running accurately and smoothly, verifying insurance, securing authorizations, resolving claims, and helping patients understand their costs with clarity and empathy. This role also supports front-desk operations, so it suits someone equally comfortable with detailed billing work and direct, in-person patient interaction.
Responsibilities
Billing & Insurance
- Collect patient payments, process refunds, and post payments accurately
- Verify insurance coverage and obtain prior authorizations with covered and participating health plans
- Communicate with insurance companies and third-party financing vendors
- Research, resubmit, and work claim denials to resolution
- Process daily billing forms, lab charges, and non-FIH invoices (e.g., Kaiser, Tripler)
- Create fee sheets and meet with patients to review costs and payment options
- Collect on past-due payments
Patient & Front-Desk Support
- Answer a multi-line phone system, Klara messages, and voicemails; route appropriately
- Confirm appointments and respond to patient financial inquiries with empathy and clarity
- Provide weekend and as-needed front-desk coverage
Records & Administrative Support
- Maintain accurate, updated patient records (insurance, demographics, financials)
- Support administrative duties including filing, deposits, cash handling, and supply monitoring
- Collaborate with clinical, billing, and marketing teams
- Ensure patient privacy and HIPAA compliance in all financial and administrative work
Skills and Requirements
- Fantastic interpersonal skills, with a pleasant, confident demeanor in all patient relations
- Exceptional attention to detail and strong organizational ability
- Ability to multi-task in a fast-paced environment
- Excellent computer skills
- Familiarity with basic billing functions, insurance processes, EOBs, and administrative-level tasks
- Certification in billing and coding a plus, but not required
- At least one year of experience in medical billing or authorizations a plus
